Our services
German Marine provides processing of documents of seafarers joining our manned ships. It provides all its principals with personnel services, which meet their needs and expectations complying with applicable national and international statutory regulations.
Personal information
We collect personal and sensitive data from all our seafarers such as full name, date of birth, place of birth, home address, contact numbers, height, weight, religion, name of spouse, number of children, father’s name, mother’s name, educational attainment, qualifications, certificates, employment status/history, passport, seaman’s book, bank details, physical health information, evaluation/appraisal.
When and how we collect personal information
Once a seafarer is approved by the principal for deployment, he is requested to report atGMA office for processing of his documents. Original documents of seafarer which contain personal and sensitive information are submitted for final checking of Operations Officers.
The purpose of collecting personal information is to ensure employment of our seafarers on a vessel as per the manning agreement with our principals. It will also use for processing and compliance to government, immigration authorities, port state control and other competent authorities as may be required by law.
Third party transfer
Original documents of seafarers which contain personal and sensitive information is submitted for final checking of Operations Officers and kept safe in fireproof cabinets. Only the Operations Officers can photocopy all sensitive personal information. All disposal copies of sensitive personal information must be shredded.
Personal, medical history and salaries of the seafarer are controlled and confidential. Crew personal information and sensitive information should not be divulged to a third party without the written consent of the seafarer. However, basic information such as qualifications and sea service may be disseminated practically to third parties.
All crew must sign authorization to obtain personal and sensitive information for their employment purposes, as well as their beneficiaries. Data in the personnel computer and the main server are backed-up and stored in an external drive/cloud storage with password at least once a week.
Retention period
All records are retained for three (3) years except otherwise indicated. All obsolete and disposed records are shredded.
Inquiry
Crew has the right of information, object, access, correct, erase his personal and sensitive information and file complaint in case of breach.
